The domain checker
The checker runs in your browser. It looks up public DNS records for the domain you enter, using Cloudflare's public DNS service (cloudflare-dns.com), with Google Public DNS (dns.google) as a backup. Those services receive the DNS names being looked up, under their own privacy policies. To show who your domain is registered with, this site also looks up the domain's public registration record through rdap.org; that lookup isn't stored. The check itself isn't saved.
Bounce messages, headers and DMARC reports you paste
The checker has optional tabs where you can paste a bounce message, an email's headers or a DMARC report. When you press the button, your browser explains it straight away, and what you pasted is also saved, with the explanation, the domain it mentions, your browser type and a scrambled (hashed) version of your IP address, in the same database on Cloudflare, and emailed to me. Pasted email content can include names, email addresses and server details, so remove anything you'd rather not share before you paste it. I use it only to help with your email setup, keep it for up to 24 months, and delete it sooner if you ask.
The setup questions
After a check you can answer a few optional questions about your setup. Nothing is saved until you press "Save my answers". Then I store your answers, your check results and the domain, plus your browser type and a scrambled (hashed) version of your IP address, used only to stop spam. If you then give your name and email, I store those too. Everything is kept in a database on Cloudflare, my hosting provider, and emailed to me.
I use it to prepare your fix plan and decide who to follow up with first. I keep it for up to 24 months, then delete it, sooner if you ask. The questions never ask for passwords or logins, and I'll never ask you to send them.
When you send me something
If you send me a question through the site, I store it with your email address, your name if you give it, and your report if you choose to include it, in the same database as the setup answers, and it's emailed to me. The same goes for everything else you send through the site's forms: fix requests, call requests and contact messages (with any details you add, such as preferred call times or a phone number). I use it only to reply and, if you hire me, to do the work. Messages are kept for up to 24 months, then deleted, sooner if you ask. I don't sell or share it, and I don't add you to a mailing list without asking.
If you hire me
After you pay for a fix, the intake form asks about your email setup and how you'd like to give me access. Your answers are saved in the same database and emailed to me, kept for as long as I'm working with you plus up to 24 months, and deleted sooner if you ask.
Your Gmail and Yahoo dashboards (clients)
If you hire me for a Setup Fix, I set up Google Postmaster Tools and Yahoo Sender Hub for your domain, under your account and mine. Unless you opt out on the intake form, I keep access to them after the job. That access shows summary numbers only, such as your spam rate and how much email was delivered. It never shows your emails or who you send to. Yahoo's spam-complaint reports go to you, not me, unless you choose Monitoring. You can remove my access at any time: your fix report lists the record that gives it to me, or ask me to remove it.
Payments
Payments are handled by Stripe. I don't see or store your card details.
Analytics
This site may use privacy-friendly analytics that count page views and button clicks without cookies. They never include the domain you check.
Access you give me during a fix
If you invite me to your DNS host or email tools, I use that access only for the agreed work. Remove it when we're done; I'll remind you.
Questions or deletion requests
Send a privacy or deletion request and I'll answer, or delete what I hold about you, within 30 days.
